Once someone has signed up and is an active committee volunteer, we need to update their WordPress user status in a couple of places to make sure that
- They have access to the correct areas of the website meant for their committee (future proofing and making the website a resource for our volunteers)
- Our database of volunteers is automatically kept up to date in our volunteers spreadsheet and accurately reflects members who are active or LOA status.
First, we need to ensure they have filled out the Volunteer Sign up Sheet.
We need to ensure they are registered members of the website.
Then there are two spots in the WordPress user profile we must update to reflect this volunteer status. Visit the dashboard and go to Users–>then search for their email in the upper right search box of the page. Click Edit. Scroll down the profile page and look for the section called “Membership Levels” (There may be two sections called this–there was a major update to our membership plugin which caused us to have to re format our memberships and the site kept both the old data and the new data.
You are looking for the 2nd section called “Membership Levels”–about half way down the page.
- Click ‘Add Level’
- Choose ‘Committee Group’ in the Group column
- Then you can select the committee the user belongs to from the drop down menu under the ‘Membership Level’ column
Next, you’ll scroll most of the way down the page to the Volunteer Status Section
- In the drop down menu beside ‘Volunteer Active’, select the appropriate status –Yes-Active, No or LOA are the choices (If they go on LOA, this should be the area that gets updated to reflect that.)
- Click in the box beside ‘Sitting Committee’ and start typing the name of the committee they are active in and currently sitting and participating with. List ALL active committees here.
Lastly, scroll to the bottom of the page and click the Save button.
This save action will trigger an update email to be sent to the admins saying the profile was updated and also triggers an automatic update of the spreadsheet in google drive of our volunteer and members spreadsheet.
